ITIN Solutions, powered by TaxFlow Labs (“we”), provides ITIN application assistance. This policy explains what we collect, why we collect it, and how it is used. We are not the Internal Revenue Service and do not issue Individual Taxpayer Identification Numbers.
Who handles your information
ITIN Solutions is powered by TaxFlow Labs, which prepares and files ITIN applications submitted through this site. The information you give us is shared with TaxFlow Labs for that purpose, and emails about your application or inquiry may come from a taxflowlabs.io email address.
Information we collect
When you apply or contact us, we collect:
- Identity details needed for Form W-7 (name, date of birth, country of birth, citizenship)
- Contact and address information
- The IRS reason you need an ITIN and the tax year involved
- Payment status and a transaction reference if you pay online
- Messages you send through the contact form
- After payment, a photograph of your passport photo page and a live selfie, captured in the browser through a private link. File uploads are not accepted.
Identity photos are stored encrypted and used only to review your file and prepare Form W-7. The selfie is not an IRS document. This check does not authenticate identification for the IRS. We still tell you separately how to get original identification to the IRS.

- Send you an email confirmation and the identity-check link
Service providers
We use a small number of third-party providers to run this service, including a payment processor, an email delivery service, hosting and database providers, and a service that protects our forms from automated spam. They process data only on our behalf and under their own terms. Reach us through our contact form if you need the current list.
Analytics and advertising
We use analytics tools to understand how visitors find and use this site, and we work with advertising partners to measure how well our ads perform. These tools may use cookies or similar technologies and receive information such as the pages you visit, your browser and device type, your approximate location based on your IP address, and the site or ad that brought you here. Advertising partners may use this information under their own privacy policies, including to show you ads.
When you complete an application, we let our advertising partners know that a conversion happened and, for a paid application, the fee amount. We do not share your application answers, identity documents, or payment details with them, and analytics and advertising tools do not run on the identity-check pages.
You can limit this tracking through your browser’s cookie settings, the ad preference settings of the platforms you use, or a content or tracker blocker.
Retention
We keep application records for as long as needed to complete the engagement and meet tax-preparation recordkeeping expectations, then delete or de-identify them unless a longer period is required by law. Identity photos are kept for the engagement so we can prepare and file your application, then deleted when they are no longer needed for that purpose.
Your choices
Use our contact form to access, correct, or delete personal information we hold, subject to legal retention duties. Do not email passport scans or original identification unless we specifically request a secure method.
Data deletion requests
To ask us to delete your personal information, submit a data deletion request through our contact form. Include your name, the email address you used, and your application reference if you have one, so we can find your records and confirm the request came from you. We will delete or de-identify your information, including identity photos, unless we must keep certain records to finish work you paid for or to meet a legal obligation. If so, we will tell you what we kept and why.
Children
A parent or guardian may apply for a dependent. We do not knowingly market to children.
